Handling Applicant Data

We are pleased about your visit to our career page and your interest in our company. We take the protection of your private data very seriously and want you to feel comfortable when visiting our website.

Data protection is an important issue at Hörmann. We process all personal data of applicants in accordance with the requirements of the EU General Data Protection Regulation (GDPR) and the new Federal Data Protection Act (BDSG new).

In addition to data protection-compliant processing, transparency in handling your data is our top priority. Therefore, we would like to explain some processes.

Who is responsible for processing your personal data?

Hörmann KG Verkaufsgesellschaft, Upheider Weg 94-98, 33803 Steinhagen (hereinafter referred to as “Hörmann”), is responsible within the meaning of the EU General Data Protection Regulation (GDPR).

Who can you contact with questions about the processing of your personal data?

For what purposes and on what legal basis does Hörmann process your personal data?

According to § 26 para. 1 in conjunction with para. 8 sentence 2 BDSG, we process personal data about you for the purpose of deciding on the establishment of an employment relationship with Hörmann.

Furthermore, we may process personal data about you to the extent necessary to defend against legal claims asserted against us from the application process. The legal basis is Art. 6 para. 1 letter f GDPR, the legitimate interest being, for example, a burden of proof in a procedure under the General Equal Treatment Act (AGG).

If an employment relationship is established between you and us, we may further process the personal data already received from you for the purposes of the employment relationship in accordance with § 26 para. 1 BDSG, if this is necessary for the performance or termination of the employment relationship or for the exercise or fulfillment of the rights and obligations of employee representation arising from a law, a collective agreement, or a works agreement.

What categories of personal data does Hörmann process?

We process data related to your application. This may include general data about your person (such as name, address, and contact details), information about your professional qualifications and education, or information about professional training, as well as other information you provide to us in connection with your application.

In addition, we may process job-related information that you have made publicly available, such as a profile on professional social networks.

Where do personal data not directly collected from the applicant come from?

We frequently receive application documents from various providers. It is often not clear to us whether you, as the applicant, are aware of this data transfer to us or whether you have requested or consented to it.

Therefore, we are happy to comply with our information obligation under Art. 14 GDPR and will inform you of such access to your documents within one month without being asked.

To whom does Hörmann forward your personal data?

You have applied for an advertised position. Unfortunately, we cannot offer you this position, but we find your application interesting for another advertised position in one of our companies. Before we forward your documents to the relevant department or the relevant company of the Hörmann Group, we will always ask for your consent. This consent is voluntary. You can revoke this consent at any time.

In addition, personal data is processed on our behalf based on contracts under Art. 28 GDPR, particularly by the provider of our applicant management system, rexx systems GmbH, Süderstrasse 75-79, 20097 Hamburg. All data is encrypted based on the SSL/TLS procedure.

A transfer to a third country is not intended.

What data does Hörmann process in the applicant management system?

Regardless of whether you send us your application documents via the online portal, email, or in paper form, we process your data in our application management system. The data transfer takes place via an SSL/TLS encrypted connection to the server of our external service provider rexx systems GmbH, Süderstrasse 75-79, 20097 Hamburg.

Through which communication channels does Hörmann contact you?

You will primarily be contacted via email, telephone, or postal mail. Occasionally, Hörmann also uses modern services, such as WhatsApp, for communication with you. In doing so, Hörmann ensures that as little personal data as possible is processed. For example, your mobile phone number is not stored together with your full name.

How long does Hörmann store your data?

Your application documents can only be viewed by the HR department and the persons involved in the decision-making process for a vacant position, such as the respective managers in our company. Your data will, of course, be treated confidentially by all parties involved.

Your data is hosted by a provider in Germany in the course of commissioned data processing in accordance with Article 28 GDPR and § 62 BDSG new. Both we and the provider use technical and organizational security measures to protect your collected data against accidental or intentional manipulation, loss, destruction, or access by unauthorized persons. Our security measures are continuously improved in line with technological developments.

What are your rights to information, correction, and deletion, as well as rights to restrict processing? Right to information

You have the right to obtain information about your personal data processed by us and to request access to your personal data and/or copies of this data. This includes information about the purpose of use, the category of data used, their recipients and authorized persons, and, if possible, the planned duration of data storage or, if this is not possible, the criteria for determining this duration.

Right to correction

You have the right to request the correction of incorrect personal data concerning you without delay. We also have an interest in having correct data from you. If there are any changes, for example to your contact details, please feel free to contact us at any time.

Right to Object

If the processing of your personal data is based on Art. 6 para. 1 letter f GDPR, you have the right to object to the processing of your personal data at any time. We will then no longer process these personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights, and freedoms, or the processing is for the establishment, exercise, or defense of legal claims.

Right to Withdraw Consent

If the processing of your personal data is based on consent, you have the right to withdraw your consent at any time. The lawfulness of the processing carried out on the basis of the consent until the withdrawal is not affected by this. To withdraw your consent, simply contact your Hörmann contact person or, as mentioned above, our data protection coordinator or our data protection officer.

Right to Erasure

You have the right to request that we delete personal data concerning you without undue delay. We are obliged to delete personal data without undue delay as soon as

  • the personal data are no longer necessary for the purposes for which they were collected or otherwise processed, or
  • you object to the processing and there are no overriding legitimate grounds for the processing.

Reasons for processing exist as soon as

  • the processing is necessary to fulfill a legal obligation under Union law or the law of the Member States, or
  • the processing is necessary for the establishment, exercise, or defense of legal claims

If deletion is not possible, we will restrict the processing accordingly.
